Senior Account Coordinator - Venue Find
£18-23k p.a.
A senior role within Venue Finding to
provide support to the team, handling all levels of enquiries for UK and
overseas conference venues. An excellent knowledge of account specific
destinations and venues is important, together with an understanding of
the commission system.
Reporting to the Team
Manager / Deputy Team Manger, Team Operations Manager as required
Responsibilities
include :

Taking complex UK
& overseas briefs and advising client in consultative capacity,
steering the client through likely requirements

Venue research
dealing with UK & international hotel groups and independent hotels

Negotiation with
venues on rates and added value
-
Contracting of
venues
-
Preparation of
venue / destination proposals & quotations
-
Preparation of
initial costings, dealing with currencies (including Euro), taxes,
commission, etc
-
Client liaison
-
Supplier liaison
-
Maintaining up to
date records on all working files
-
To answer
telephone calls with priority and to take and pass on messages as
required

To learn and
constantly improve knowledge of UK and International venues and to
attend venue familiarisation trips whenever possible
-
To liaise with
the Team Manager on a daily basis, to report on work in hand and its
progress through the day

To carry out any
reasonable request made by the Team Manager

Assist new
starter/ junior staff with all aspects of the role
-
Coordinate team
activities e.g. fam trips/ presentations/ rotas/ general updates
-
Be the main point
of contact when the TM/ DTM/ TOM are out of the office
-
Act in a
supervisory role towards other team members
-
Assist colleagues
in the complaint handing process

Assist with
reports as and when required
The role involves
close working with the Sales Managers and all members of the conference
team. Whilst mainly an office-based position, role requires excellent
communication skills in dealing with clients and suppliers. The
position requires some time spent visiting destinations and venues to
maintain up-to-date product knowledge - this might involve time
out-of-hours or at weekends.
